This Privacy Policy explains how we collect, use, share, and safeguard your information when you visit or use our platform, including your subscription as an organization and the use of services by your members.

We collect various types of information to provide and improve our services to you and your organization's members.

a. Personal Data: When your organization registers or its members use our services, we may collect personal information. This can include:

For Organizations (Subscribers): Your organization's name, primary contact person's name, email address, phone number, billing information (handled securely by our payment processor, as detailed below), and other relevant organizational details.

For Individual and Company Members (Authorized Users): Name, email address, phone number, profile information (e.g., skills, interests, professional background, products and services), and any other personal data they choose to provide when creating a profile, posting content, or engaging with platform features.

b. Content and Communications: We collect information that you or your members post or upload to the platform, including job listings, marketplace ads, discussion forum posts, messages exchanged, and any content related to the "Start & Grow" resources. This also includes communications you have with us, such as support requests.

c. Usage Data: We automatically collect information about your and your members' interactions with the platform. This "Usage Data" may include internet protocol (IP) addresses, browser type, device information, pages visited, features used, time spent on the platform, and referral URLs.

Cookies and Tracking Technologies: We use cookies, web beacons, and similar tracking technologies to enhance user experience, analyze trends, manage the platform, track users' movements around the platform, and gather demographic information about our user base. You can control the use of cookies at the individual browser level.
2. How We Use Your Information

a. Service Provision and Operation: To provide, maintain, and improve the CommunityWorkplace platform and its features, including facilitating member profiles, job postings, marketplace listings, and access to the "Start & Grow" resources and other Organizational Services for your members.

b. Communication: To communicate with your organization and its members about account updates, support requests, platform notifications, important announcements, and, where applicable, marketing communications (from which you can opt-out).

c. Analytics and Improvement: To understand how our platform is used, analyze usage patterns, diagnose technical issues, and improve platform functionality, user experience, and service offerings.

d. Facilitation of Organizational Services & Member Contributions: To facilitate the collection of voluntary financial contributions from members to your organization for Organizational Services (as described in our Terms and Conditions) and to transfer these contributions to your organization's designated account. We act solely as a facilitator in this process.

e. Security and Compliance: To protect the security and integrity of our platform, detect and prevent fraud or unauthorized access, and to comply with legal obligations, applicable laws, and our Terms and Conditions.
3. How We Share Your Data
We share your information in the following ways, consistent with this Privacy Policy:

a. With Your Organization and Its Members: As necessary to operate the platform and deliver services. For example, member profile information is shared within your organization's designated community, and content like job postings or marketplace listings are visible to relevant users on the platform.

With Service Providers and Partners: We share data with trusted third-party service providers and partners who perform services on our behalf, such as payment processing (Wix), hosting, data analysis, customer support, and email delivery. These parties are contractually obligated to protect your data and use it only for the purposes for which it was disclosed.

With Third-Party Providers for Organizational Services: Where your organization opts to connect members to third-party providers for Organizational Services (e.g., tax filing support), we may share necessary information to facilitate that connection, with your organization's and the member's consent.

d. Legal Requirements and Business Transfers: We may disclose your information if required by law or in response to valid requests by public authorities (e.g., a court order or government agency). In the event of a merger, acquisition, or sale of all or a portion of our assets, your data may be transferred to the acquiring entity.

e. With Your Consent: We may share your information with third parties when we have your explicit consent to do so.
4. Your Rights & Choices
You have certain rights regarding your personal data:

a. Access and Update: You can view, update, or correct much of your personal information via your account settings on the platform.

b. Data Deletion: You have the right to request the deletion of your personal data, subject to legal obligations and our data retention policies.

c. Opt-Outs: You can opt-out of receiving non-essential notifications or marketing communications from us by following the unsubscribe instructions in those communications or by adjusting your account settings.

We implement commercially reasonable and appropriate technical and organizational security measures to protect your data against unauthorized access, alteration, disclosure, or destruction. This includes the use of encryption, firewalls, and secure access controls. For payment transactions, we leverage Wix's PCI DSS Level 1 compliant infrastructure, ensuring your sensitive payment information is handled directly by their secure systems and is never stored on CommunityWorkplace's servers or accessible to us in plain text.
6. Data Retention
We retain your personal data only as long as necessary to fulfill the purposes outlined in this policy, to provide the services to your organization, to comply with our legal obligations (e.g., tax and accounting requirements), resolve disputes, and enforce our agreements. When your organization's subscription terminates, we will retain Your Content and associated data for a reasonable period to allow for potential reactivation or data export, after which it will be securely deleted.
7. Children’s Privacy
Our platform is not intended for use by children. To access and use our services, users must be at least 18 years of age. We do not knowingly collect personal data from individuals under the age of 18. If we become aware that we have collected personal data from a child under 18, we will take steps to delete that information.
8. Changes to This Policy
We may update this Privacy Policy periodically to reflect changes in our practices or legal requirements. When we make material changes, we will notify you by posting the updated policy on our platform with a revised effective date. Your continued use of the platform after the effective date of the revised Privacy Policy constitutes your acceptance of the changes.
